The Contractor Tech Stack That Actually Pays for Itself

You don't need ten tools. You need four that talk to each other. Here's the lean stack we recommend for HVAC, plumbing, and electrical shops doing under $3M.
Every week we see contractors paying for six pieces of software that overlap, fight each other, and still don't tell them whether last month was profitable. The fix isn't more tools. It's fewer tools, chosen on purpose.
At the core: a field service management platform (Housecall Pro, ServiceTitan, or Jobber, depending on your size). This is your single source of truth for jobs, customers, and dispatch. If it lives somewhere else, it basically doesn't exist.
Around that, you need exactly three things. First, accounting that syncs automatically (QuickBooks Online for most shops under $3M). Second, a payment processor built into the FSM so customers can pay right from the invoice link. Third, a review-request tool. Most FSMs have one built in now. Turn it on.
That's the whole stack. Everything else is a nice-to-have until those four are running smoothly. Marketing automation, advanced reporting, AI dispatch, none of it matters if your invoices aren't going out the same day.
The trap most owners fall into is buying the bigger tool before they've outgrown the smaller one. ServiceTitan is incredible, and it's overkill if you have four trucks. Pay for the platform that fits the business you have today and re-evaluate every twelve months.
One last rule: every tool you add should remove at least one manual step. If it just adds another login without taking work off someone's plate, it's costing you more than the monthly fee.
